Administrative Specialist

Position: Full-Time (35-40 hours per week) nonexempt. Reports to the Executive Director. Hourly rate starts between $16-$17 depending on experience and education.

 

Position Summary: 

The Administrative Specialist (AS) must be an organized individual who demonstrates friendly attitude and behavior. Communication skills, honesty, integrity, loyalty, friendly demeanor, and respect are required qualifications. The AS works closely with the Executive Director (ED) providing general administrative and clerical support to ensure efficient operation of the office. Supporting ED through a variety of tasks related to organization and communication. The AS is the committee chair/organizer of the annual fundraising event and also for the Christmas program.

Job Description/Responsibilities: The Administrative Specialist will be responsible for confidential and time sensitive material. Specific duties will be varied and will include, but not be limited to the following:


Maintaining professional and polite communication through email, phone, in person, social media, postal mail

Answering incoming phone calls, handling general inquiries, and directing callers to appropriate party, in a friendly manner

Greeting and assisting all visitors in a welcoming manner

Receiving, sorting, and forwarding all incoming mail, faxes, and packages

Ordering and maintaining office supplies as needed

Coordinating needed repairs and maintenance of office equipment

Generating reports and presentations as directed by ED

Updating website content as needed or directed by ED

Maintaining and updating social media content

Creating, maintaining, and entering information into databases

Receiving, documenting, and providing receipts for all donations

Working with FPCV’s congregation volunteer coordinators

Tracking volunteer hours and maintaining database per state requirements

Helping organize and maintain clean conference room and office common areas

Scheduling meetings, events, and reservations as needed

Organizing and maintaining electronic and hard copy file systems

Creating e-newsletters, event materials, or other information as directed by ED

Updating paperwork, maintaining documents, and drafting correspondence

Performing other tasks as assigned by the Executive Director

Education and Skills: 

Previous office administrative experience required

Experience with FPForce and Give Gab software preferred, not required

Excellent time management skills and ability to prioritize work

Attention to detail and problem-solving skills

Strong organizational skills with the ability to multi-task

Desire to be proactive and create a positive environment

Willingness to work independently and on a team

Ability to work effectively with a wide range of people from different cultures and faiths

Proficiency in effective oral and written communication

Microsoft Office, database, and computer skills required


Physical and Emotional Demands: This position may require lifting/carrying (20-30 lbs.), walking, stair climbing, sitting, standing, driving, and prolonged visual concentration. Working in an environment with families in a situation of homelessness requires mental and emotional fortitude, empathy, adequate self-care, and awareness of surroundings.
